Resolution requesting the transfer of $45,000 from the City's Reserve for Computer/Technology Improvements to Information Technology Equipment Account for Purchase of Additional Data Storage for Surveillance Cameras.

WHEREAS, the City of West Allis has established a Reserve for Computer/Technology Improvements to cover the cost of Computer and Technology Initiatives (Account No. 100-0000-345.12-00); and
WHEREAS, the amount in the Reserve for Computer/Technology Improvements as of January 1, 2015 is $189,866; and
WHEREAS, the Information Technology & Communications Department will have installed 27 cameras in 2014 and 2015, and maintains and stores data for a total of 128 cameras in various locations in the City of West Allis; and
WHEREAS, Wisconsin Stats. 16.61, 59.51, and 19.51 govern record retention requirements for local governments; and Section 1.09 of the City of West Allis Revised Municipal Code addresses Destruction and Preservation of Public Records; and
WHEREAS, Notification of General Records Schedule Adoption Form has been submitted to the Wisconsin Historical Society to request inclusion into the State of Wisconsin Facilities Management Monitoring and Surveillance Recordings record schedule providing for a 120 day retention schedule; and
WHEREAS, the current storage available for monitoring and surveillance recordings is not sufficient to meet the 120 day record retention requirement, and approximately $45,000 is needed to purchase sufficient storage.
NOW, THEREFORE, BE IT RESOLVED by the Common Council of the City of West Allis that $45,000 is hereby approved for transfer from the City's Reserve for Computer and Technology Initiatives (Account No. 100-0000-345.12-00) to the Information Technology Equipment Account (Account No. 100-1101-517.70-03) for the purpose of purchasing data storage.
